How to Synchronize Outlook Contacts Across Devices

Find the source of truth first

Before changing settings, decide which contact list is the master.

For Outlook contacts, the cleanest source of truth is usually the People/Contacts list in your Microsoft account. Sign in to Outlook on the web and open People. If a contact is visible there, it is on the server. If it only appears on one phone or one desktop, it may be local.

Do not turn on every sync option until you know where contacts live. That is how duplicates happen.

Sync contacts from Outlook desktop

Open Outlook.

Go to People or Contacts.

Check the folder list.

Contacts under your Microsoft account are the ones most likely to sync.

Contacts under a local file, old PST, or device-only list may not sync.

Move important local contacts into the contacts folder under your Microsoft account.

Then confirm the account is connected as a normal Microsoft/Exchange account, not just an imported file.

Sync contacts on iPhone

There are two common routes.

Use iPhone Settings if you want Outlook contacts available to the system Contacts app.

Add the Microsoft account in iPhone settings, then turn on Contacts for that account.

Use Outlook mobile’s contact sync if you prefer Outlook to push contacts into the phone address book. The label may appear as saving or syncing contacts in Outlook app settings.

Avoid enabling multiple overlapping sync routes unless you understand the result. Two sync paths can create duplicates.

Sync contacts on Android

On Android, add the Microsoft account through the phone’s account settings or use Outlook mobile.

Turn on contact sync for the account.

Check whether your phone is saving new contacts to Microsoft, Google, device storage, or another account.

If new contacts keep disappearing from Outlook, they are probably being saved to the wrong default account.
